College Academic Committee

College Academic Committee (CAC) is centralized (Institute level) committee responsible for regulating and implementing different academic activities. CAC is meant for smooth & uniform conduction of academics throughout the institute. The college is having a duly constituted College Academic Committee (CAC) to formulate long term and short term development programmes for the college to achieve academic excellence in tune with the policies of the affiliating University.

CAC takes care of all the academic affairs of the college, encompassing students, academic staff, academic planning, instructional & delivery issues, co curricular activities and discipline and so on. It is the prime responsibility of College Academic Committee to endeavor and ensure the best practices are implemented and standards are maintained.

Functions

To consider & follow the recommendations of the apex body AICTE and the affiliating university JNTUK, regarding the courses of study, syllabi of programmes, examinations and project modifications if any.

To keep liaison with the apex body AICTE and affiliating university JNTUK, regarding its recognition and qualifying examinations for admissions.

To prepare the academic calendar and ensure the adherence to the dates mentioned in the academic calendar for conducting various activities by each department.

To monitor and compile the data relating to student attendance and submit the report for detention on account of shortage of attendance.

To compile the report on examination practices in the college, oversee the internal examinations/ malpractices in examinations /evaluation/ recording etc.,

To prepare the report on academic performance of students for placing before the Governing Body and encourage the students with Academic awards and scholarships.

To plan and arrange for expert lectures, exhibitions, seminars and all other academic matters

The progress of the syllabus coverage of each class.

To frame regulations to conduct examinations and initiate measures for improving the quality of teaching and learning student’s evaluation.

Roles and Responsibilities

Chairman:

The chairman will convene the meeting of the CAC. The Chairman presents the agenda of the meeting before the committee and initiates the session

Convener:

Convener is responsible for drafting, regulating and implementing different academic policies. It is meant for smooth & uniform conduction of academics throughout the institute. Convener shall prepare the meeting agenda Convener shall prepare minutes of the meetings and circulated after obtaining the approval of the Chairman

Member:

Members of the committee represent the respective department in all academic related matters and fore see the effective implementation of the resolutions made by CAC Prepares the academic calendar of the department. Monitors functions of Class teachers. Approving the Internal Assessment marks of the students Monitors the student’s feedback. Monitors the faculty performance and analysing the results. Prepares the action plans as well as suggest measures for improvement. Monitors and controlling students discipline in the campus.

Frequency of Meeting:

The chairman will convene the meeting of the CAC. The committee shall meet as and when requires and at least twice in semester. The notice shall state the venue, the date and time of the meeting. Notwithstanding the above provision, the chairman of the College Academic Committee may call an emergency meeting at a short notice to consider urgent special issues.

Composition

The College Academic Committee (CAC) shall have a minimum of ten members, including the Chairman. All other members will be nominated by the Chairman. Student Welfare & Grievance Committee

Mentoring is collaboration – a caring, sharing, and encouraging relationship with a focus on the enhancement of the mentee’s growth and skill development. For mentees, the value of forging a close, ongoing, and evolving relationship with a mentor in their field can be tangible, such as increased compensation and greater career opportunities, or more abstract, such as building confidence through awareness about the vernacular and traditions of the professional education. For mentors, the process provides the opportunity to recognize and promote the abilities of individuals with less exposure within the supporting organization. This can result in diversifying talent and perspectives—fostering a fertile environment for fresh approaches needed for academic or business success.

Functions

Mentoring

The staff member should conduct counselling/meetings every week during the semester with the allotted students. The detailed data of each allotted student should be collected in the format provided in a register (to be continued in the previous register). Any difficulties or problems faced by the allotted student should be noted and taken to the concerned committee (ICC/ Ant ragging/grievance committee) for relevant action The teacher should counsel the students for career guidance and higher studies preparation from the gross root level. The Parents/Guardians of poor attendee/performance students are called to meet the mentors and corrective and preventive measures are implemented for further improvement. A compiled action-taken report should be submitted at the end of the academic year to the Convenor in the given format.

Grievance

Receives complaints of students for redressal of grievances. The cases will be attended promptly on receipt of written representation from the students. Deals with all the Grievances directly which are related to the common problems at Institute level both academic and administrative. Reviews all cases and will act accordingly. Reports to the authority about the cases attended and the number of pending cases, if any, which require direction and guidance from the higher authorities.

Facilities

To provide skills that will enable the students to deal effectively with aspects of environment. To provide atmosphere in class/college that permits the students to admit the feeling he/she is experiencing. To provide identification of proper model and constructive base of expressing feeling. To train students in self control of emotions. To provide with the variety of opportunities to participate in Dept./College activities leading towards the acceptances of responsibilities. To organize camps, picnics, excursion and tours to provide them opportunities to understand each other and come closer. To conduct orientation programmes for the fresher’s; To conduct training programmes for the identified Staff & Student counselors. The counselling sessions for the needy students through staff / student / external expert counselors. The Counselling Committee meets once in a Semester to: Guide and support the Staff and Student Counselors in the College for effective counselling.  Facilitate the effective functioning of Mentor-Mentee system in the departments to closely monitor the student’s academic progress and behaviour aspects. Identify events / programmes to be conducted for the staff and students to create good environment and relations for effective Teaching and Learning. Counsel the students at least twice in a month in tutorial groups about the problems of adolescents and also will guide them in new phase of life. The committee will meet immediately if there is an urgent matter relating to adolescents and redress the problems. The faculty Coordinators (College and Department) will follow up the procedures and guide lines suggested by the Counselling Committee and implement with the approval of respective HoDs and Principal.

Roles & Responsibilities

Mentoring To counsel the students on academic, career as well as personal issues by respective mentors on a regular basis and to keep track of the progress of the mentee. To fill up the Counseling register. To provide discipline-specific academic counselling and current information regarding the most efficient route for completing a four-year B.Tech. Program. To discuss Course prerequisites and skills needed for effective completion of the program completion To conduct frequent discussions with their parents/guardians on issues relating to academic and others. To record all the details of all the above for reference at times of need in the Counseling To address the grievances by referring to the Committees concerned (ICC/ Anti-ragging/Grievance Committee) for appropriate action.

To introduce a fair, impartial and consistent mechanism for Redressal of various issue faced by the students/parents. To develop a responsive and accountable attitude among all stakeholders, there by maintaining a harmonious atmosphere in the campus To advise stakeholders to respect the right and dignity of one another, and not to behave in a vindictive manner towards any of them for any reason; To ensure the grievances are resolved promptly, neutrally and in complete confidentially. To uphold the dignity of the GIST by promoting cordial student-teacher relationship.

Training and Placements Committee

Functions

1. Understanding the needs and demands of the Industry, community and preparing the road map to nurture students as per the demands. 2. Counsel the students on career development. 3. Organize campus drives to create various job opportunities and improve campus placements. 4. Conduct ample training programmes on various employability skills like Personality Development, Quantitative Aptitude & Logical, Verbal ability, Communication and Soft skills and technical skills for their future career opportunities/prospects. 5. Conduct company specific training programmes based on the company requirement and hiring pattern. 6. Conduct online assessments and track the assessment scores to further design the training programmes. 7. Review and adopt the strategies from time to time based on the market trends to ensure substantial placements.

Convener:
To lead the Training & Placement team and to coordinate with the faculty members from various departments to conduct a wide range of training activities and placement drives. To coordinate with the internal resources available in the form of teaching expertise of teachers for enhancing the knowledge and skills of the students in implementation of the To interact with corporate and industrial houses for the purpose of arranging training programs for the up-skilling the engineering aspirants and make them industry ready. To approach various IT sector industries and Core sector industries to interact with the Human Resource Managers with the objective of facilitating recruitment drives in the campus. To collaborate with HR Managers across the industry and collaborate with the placement officers of the other colleges to organize ON/POOL campus drives.

Faculty Members:

To coordinate the training and placement activities by mobilizing students and ensure the conduct of training programs strictly according to the schedule prepared. To record the attendance of the students during training and placement programs and ensure special care is taken to achieve 100% attendance by the way of phone calls to the parents and the absentees. To see that labs are available for conducting online tests. To coordinate the conduct of placement motivation sessions, Counselling and career guidance sessions, industry orientation programs, soft skills training sessions, aptitude training sessions, technical training sessions, personality development sessions, industry institute interactive sessions regularly as per the planner. To Counsel, Motivate and Inspire students to ensure their dynamic, enthusiastic and active participation in the training and placement initiatives through individual interactions.

Student Members:

To bring representations from their class group regarding their needs/requirements for training/placement/career guidance activities. To act as an active bridge between their class group and the placement department to share any information related to trainings/job opportunities/guest lectures/assessments/career guidance programmes. To coordinate the peer learning activities, mock interviews, resume preparations etc., To motivate their class groups for active participation in the various activities those are planned for their future prospects. To share their plans/ideas with respect to the industry needs in accordance to their collective requirements of their class group. They act as volunteers/nominate volunteers during the placement activities to coordinate the hiring process along with the placement team.

Discipline & Anti-ragging Committee

About

Tirumala Engineering college maintains a healthy and congenial academic environment for the students. The institution offers protection to the new entrants from the menace of ragging. Ragging is defined as: Any disorderly conduct whether by words spoken or written or by an act which the effect of teasing, treating or handling with rudeness any other student, indulging in rowdy or indiscipline activities which causes or is likely to cause annoyance, hardship or psychological harm or to raise fear or apprehension thereof in a fresher or any other student or asking the student to do any act or perform something which such student will not do in the ordinary course and which has the effect of causing or generating a sense of shame or embarrassment so as to adversely affect the physique or psyche of a fresher or any other student. Ragging in the college is absolutely banned and, hence, any student found indulging in an act of ragging shall meet strict disciplinary action, which may include immediate rustication from the college apart from criminal consequences. In this regard our Institute has constituted an Anti-Ragging Cell. The cell is headed by Head of the institution, along with several other committee members comprising of senior faculties. Anti-Ragging members and Anti Ragging Bus In charges have been deputed from all departments to monitor students discipline both inside the campus and on board. Functions • To build self-esteem & dignity among junior boys and girls students. • Class wise Mentoring Cells, Anti ragging Sub committees (involving faculty, non teaching staff and students) and Anti Ragging Squads shall be formed in due course to distribute the responsibilities. • To offer services such as counseling, legal aid in case of atrocities against women. • To createsawarenessregarding women rights. To address complaints about ragging as per the Govt. and University procedures. • To avoid and prohibit sexual harassment at workplace • To ensure overall disciplined environment in the College. • To initiate timely action against erring students. • To sensitize students about the evils of ragging and its prevention in the College. Faculty is deputed at various locations inside the college campus to monitor the student activities. Members sees that no student groups are formed and if any are observed, the group is dispersed to avoid any nuisance. The punishment for ragging is displayed at various places to make the students aware of seriousness of the administration for preventing ragging. Examination Committee

About

The overall aim of Exam cell committee is to co-ordinate the conduct of Midterm assessments, End examinations, Practical examinations, University end examinations, and prepare the consolidated Results, to organize and conduct University valuations, to make inventory of the required Stationery well in advance and put the requisition of the required items to the Stores Dept. at least 1 month in advance, to guide the students regarding Examination related matters, to ensure that the mark lists are submitted by the lecturers to the Examination Section by due dates and the Statement of Marks are given to the Students / Parents within the stipulated time, to refer cases of malpractice in the examination to the Unfair Means Inquiry Committee / Examination Grievances Committee for necessary action, to process the exam remuneration bills on time, to prepare course/program wise distribution of pass percentage and submit the same to the principal.

Objectives

The broad objectives of EXAM CELL are:

• To evaluate the students performance by the conduction of examinations. • Bringing more transparence in the examination and evaluation system. • To bring reputation to the organization. • To produce knowledgeable engineers to the society. • To bring eminent personalities to the college for evaluating the knowledge of the students. • To generate revenue to the institution. • To disseminate the information related to stakeholders. • Helping the society for evaluating the stakeholders by conducting various competitive examinations.

Exam cell in charge

The Exam cell In charge, who is a member of the teaching faculty should have the awareness of conducting the examinations and spot valuation.. He/she should be able build confidence in the students that the examinations are conducted in fair and transparent manner.

Aims of Exam cell /Activities

1) Conduction of internal, external theory examinations and practical examinations. 2) Conduction of spot valuation work. 3) Preparation of promoted list. 4) Distribution of marks memos. 5) Maintaining the stock required for the conduction of examinations. 6) Conduction of various competitive examinations. 7) Preparing the remuneration bills to distribute the honorarium to the duty staff. 8) Collecting the feedback from the stake holders. 9) Developing the Result Analysis reports for analyzing performance of students. 10) Collecting the fees related to the examinations. 1. There shall be one invigilator for a block of 24 students. 2. One Reliever will be appointed for every five class rooms 3. Invigilators, additional invigilator, and relievers shall be appointed centrally among the faculty of all departments. 4. Depending on the need and availability, Exam cell In charge may change the number of staff for conducting the examination. 5. On each day of examination, Exam Cell In charge shall download the paper from the university portal and required number of question papers are printed and distributed to the students at least five minutes before the start of examination. 6. The Exam Cell In charge shall hand over the required material to the invigilators, at least 20 minutes before the start of the examination. 7. The invigilators shall follow the “Guidelines/Instructions to the Invigilators” of the college. 8. There shall be continuous monitoring by taking rounds in different examination blocks to confirm that invigilators are performing their duties properly and discipline is being maintained during examination. 9. The Invigilators or observer shall forward the cases of misbehavior, indiscipline, malpractices, attempt to copy, copying cases to Malpractice committee through Exam cell in charge. 10. After receiving the answer books from invigilators, Members of Exam Cell shall check them as per the attendance record submitted by the invigilators and then sort out the answer books of each course separately. 11. The collected scripts are packed separately regulation wise and year wise and send them to the University for Correction on the same day. 12. All the copies of the D-Forms, seating plans and attendance sheets are maintained in the exam cell. 13. Exam cell in charge shall also prepare the bills of remuneration of all staff involved in the examination work and submit them to account section after approval from principal for further action. 14. The Semester End Examination for lab shall be conducted as per the examination schedule approved by EC. However in case of any emergency, the examination may be rescheduled with the prior approval of principal. 15. HOD of the concerned department shall be responsible for proper conduct of practical examinations and various examination related activities of the concerned department. He/She shall, however, take the services of staff of his/her Department for this purpose. 16. The HOD and Timetable In charge shall prepare detailed timetable (batch-wise) for the lab examination of the concerned department. 17. The HOD shall submit the schedule and final list of examiners for all lab examinations to exam cell. Based on the list of examiners received from HOD, The principal shall issue the appointment orders. 18. For external evaluation of UG project and PG project, external examiner outside the college is mandatory. 19. HOD of concerned department shall send the required panels of external examiners for UG and PG projects to the exam cell. The same panel information is forwarded to university by exam cell in charge and The appointment orders of external examiner shall be issued by CE, JNTU Anantapuram. 20. HOD of the concerned department shall appoint staff for lab examination and forward the copy of the same to the Exam cell. 21. Internal examiners shall make all the necessary arrangements of equipment/laboratory setup required for conducting lab examination of the courses for which their appointment is made. 22. After the lab examination of the course is over, internal examiner along with the other examiner shall prepare the mark list, and submit it in sealed envelope to exam cell on the same day or at least by the next working day along with remuneration bills. These marks are sent to the university by the exam cell. 23. After receiving the external exams answer scripts from the university we will distribute the scripts to the allotted examiners of the university as per the guidelines of the university and maintain the record of marks awarded and the distributed bundle details.
